Office Policies

After Hours/Emergencies

Our providers take emergency calls after hours on weekdays, weekends, and holidays. We offer 24/7 provider coverage, same-day appointments (when possible) for ill children and weekend/night visits when necessary.

Appointments

To avoid a long waiting time in our practice, we prefer to schedule all visits. If you are later than 30 minutes to your appointment, we will try to work you back into the schedule or perhaps offer you an appointment with another provider. Out of courtesy to our other patients, we may have to ask you to reschedule your appointment.

Appointment Cancellations

If you are unable to make it to your appointment, please call and reschedule. If you are running late, please notify our office at the earliest so we can accommodate. If your appointment is a well child visit or a follow-up visit and we do not have another time slot available, we must reschedule your appointment for the next available day.

Prescriptions & Prescription Refill Requests

For the safety of your child, it is office policy that new medication cannot be prescribed without being seen in the office first. Furthermore, it is the doctor’s general policy not to phone in antibiotic prescriptions. If your child requires antibiotics, we highly encourage an examination first. We also request prescription refills to be handled only during routine office hours.

Telephone Advice & Messages

All patients are encouraged to call with any questions but please remember, our staff are not able to give any medical advice over the phone. Our office staff is trained to answer most non-clinical questions. Please keep in mind when leaving messages during office hours, our providers are handling patients in the office. Your call will be returned as soon as possible; if a provider tells you to come into our practice, please inform our front desk.

Medical Records

Medical records must be requested in writing and signed by a parent or guardian. We do not charge for records sent to another physician. Immunization records can be faxed or mailed at the parents’ request at no charge. There is a fee for records copied for personal use or for insurance purposes.

Paperwork

All paperwork to be completed by our staff including school forms, day care forms, camp forms, WIC forms, sports forms, medication authorizations forms, referrals, letter requests, etc. must be left overnight and require 24-hour notice. There is a $5 administration fee for forms per year per patient.

GPM Pediatrics is closed on the following days each year:

  • Memorial Day
  • Independence Day
  • Labor Day
  • Thanksgiving
  • Christmas Day
